Unit 13 values the privacy of its visitors, participants, customers and website users. In this privacy statement, we explain which personal data we process, why we process it, how long we retain it and what rights you have.

This privacy statement applies to the use of our website, making reservations, participating in activities, visiting our venue, contacting Unit 13 and using our services.

2. Which personal data do we process?

Unit 13 processes personal data that is necessary for our business operations, services, safety, administration, communication and marketing.

Depending on your contact with Unit 13, we may process the following data:

  • name;
  • email address;
  • telephone number;
  • booking details;
  • number of participants;
  • information about selected activities, packages or vouchers;
  • payment details;
  • invoice details;
  • correspondence via email, contact form or booking system;
  • information you provide yourself when making a reservation, request, complaint or contact enquiry;
  • CCTV footage;
  • photos and videos taken during activities, events or visits;
  • data required for participation in Airsoft 18+, including identity verification where necessary;
  • newsletter data, if you subscribe to our newsletter;
  • technical data when using our website, such as IP address, cookie IDs, browser data, device settings and online interactions.

We do not request dates of birth for regular activities. We also do not collect the names of children participating in birthday parties or group activities, unless this is necessary in an exceptional case.

3. Minors

Unit 13 receives many bookings for children’s parties and activities involving minors. These bookings are normally made by a parent, guardian, main booker or another adult supervisor.

For children’s parties and group activities, we generally do not process individual names or dates of birth of children. The main booker is responsible for providing correct information and for informing participants, parents and supervisors about the reservation, house rules, safety instructions, terms and conditions and this privacy statement.

For activities with a minimum age requirement, Unit 13 may check whether a participant meets the participation conditions. For Airsoft 18+, identity verification may be mandatory. Unit 13 processes no more data than necessary for this purpose.

4. Why do we process personal data?

We process personal data for the following purposes.

Reservations and execution of activities

We use data to process reservations, confirm bookings, record participant numbers, carry out packages, process changes and contact you about a booking.

Payments and administration

We process payment and invoice data for payment processing, cash register processing, administration, bookkeeping, tax obligations, checks and internal business operations.

Customer service and communication

We process contact details and correspondence to answer questions, prepare quotations, handle complaints, process changes and provide information about reservations, activities, packages or incidents.

Safety and CCTV surveillance

We use CCTV surveillance to protect visitors, employees, property, stock, inventory, premises, the building and business operations. CCTV footage may be used in the event of damage, theft, aggression, complaints, incidents, violation of house rules, insurance matters or legal proceedings.

Photos and videos

Unit 13 regularly takes photos and videos of groups and visitors as a service to customers and to capture the experience of the visit. This is in line with our general terms and conditions.

If you do not wish to be photographed or filmed, you can indicate this in advance when making the reservation, by email or upon arrival. We will then take this into account as much as possible.

Photos may be made available online to the relevant group or customer. Photos remain available online for a maximum of 6 months, unless removal is requested earlier.

Photos and videos may also be used for promotional purposes, such as social media, the website, printed materials or advertisements, unless it has been indicated in advance that this is not desired. For recognisable minors and prominent promotional use, we handle consent, objections and removal requests with extra care.

Newsletter and marketing

If you subscribe to our newsletter, we use your email address to send news, promotions, events or information about Unit 13. You can unsubscribe at any time using the unsubscribe link in the newsletter.

Reviews

We may use Google Reviews or other review options. When you post a review yourself, you decide which information becomes visible. Unit 13 may use reviews to improve its services and to display visitor experiences.

Website, cookies and online marketing

We use cookies and similar technologies on our website. These are used for the functioning of the website, statistics, website improvement, security, online advertising, conversion measurement and remarketing. More information can be found in our cookie statement.

Unit 13 processes personal data on the basis of one or more of the following legal bases:

  • Performance of a contract: for example for reservations, payments, participation in activities and customer service.
  • Legal obligation: for example for tax administration, statutory retention obligations and rules relating to certain activities.
  • Legitimate interest: for example for security, CCTV surveillance, incident handling, fraud prevention, evidence, business operations and service improvement.
  • Consent: for example for newsletters, marketing cookies, remarketing, certain forms of publication of visual material and other situations where consent is required.

Where processing is based on consent, you may withdraw that consent at any time. Withdrawal of consent does not have retroactive effect.

6. Which systems and parties do we use?

Unit 13 works with various systems and service providers. Where these parties process personal data on behalf of Unit 13, we make appropriate arrangements regarding security and confidentiality.

We use, among others:

  • Briq Bookings for reservations and bookings;
  • Rootline for online payments;
  • Webmix for website management and web hosting;
  • MailCampaigns for newsletters;
  • Google Workspace for email, documents and business communication;
  • Google Analytics 4 for statistics;
  • Google Tag Manager for managing tags and scripts;
  • Google Ads for conversion measurement, advertising and remarketing;
  • Meta Pixel for Facebook/Instagram advertising and remarketing;
  • Hotjar for analysing website use and improving the user experience;
  • YouTube for videos;
  • Facebook/Instagram plugins for social media integrations;
  • Google Maps for map display and route information;
  • Google reCAPTCHA for protection against spam and abuse;
  • Google Reviews for customer reviews;
  • Gifty for gift cards.

For bookings or promotions via Social Deal or Tripper, the processing of data primarily takes place through those platforms themselves. Unit 13 does not actively share customer data with Social Deal or Tripper, unless this is necessary for the execution, verification or handling of a specific booking, voucher, complaint or agreement.

7. Transfer outside the European Economic Area

Some service providers, such as Google, Meta, YouTube, Hotjar or other online services, may process personal data outside the European Economic Area. Where this occurs, these parties take appropriate measures, such as contractual safeguards, standard contractual clauses or other security measures required under privacy law.

8. CCTV surveillance

Cameras are installed in and around the Unit 13 building. These cameras are intended for:

  • the protection of visitors and employees;
  • the protection of property, inventory, stock, building and premises;
  • preventing and investigating theft, damage, aggression or incidents;
  • enforcing house rules;
  • safety and business operations;
  • evidence in the event of complaints, insurance matters or legal proceedings.

No audio is recorded.

CCTV footage is stored internally on a Unit 13 server. Only managers or employees with higher authority have access to CCTV footage. Footage is only viewed when there is a specific reason to do so.

CCTV footage is kept for a maximum of 14 days. If footage is necessary for an investigation into an incident, damage, theft, complaint, insurance matter, legal proceedings or a request from the police or judicial authorities, the footage may be retained for longer for as long as necessary to handle the matter.

9. Photos and videos of visitors

Photos or videos may be taken during activities, group packages, birthdays and events. This is done as a service to visitors and to capture the experience.

If you do not want to be shown in images, you must indicate this in advance. This can be done when making the reservation, by email via events@unit13.eu or upon arrival to a staff member.

Photos made available to customers remain online for a maximum of 6 months. They may then be deleted.

Photos and videos may also be used for promotional purposes, such as social media, the website, printed materials or advertisements, unless it has been indicated in advance that this is not desired. For recognisable minors and prominent commercial use, Unit 13 handles consent, objections and removal requests with extra care.

Objections or removal requests can be sent to events@unit13.eu.

10. Newsletter

When you subscribe to the newsletter, we process your email address and, where applicable, your name. We use this data to send news, promotions, updates and information about Unit 13.

You can unsubscribe at any time using the unsubscribe link in the newsletter. After unsubscribing, we will no longer use your email address for newsletters, except where necessary to record your unsubscribe request.

11. Retention periods

Unit 13 does not retain personal data for longer than necessary for the purpose for which it was collected, unless a legal obligation or legitimate interest requires longer retention.

In principle, we apply the following retention periods:

  • booking data: for as long as necessary for execution, administration, customer service, evidence and legal obligations;
  • booking data in Briq Bookings: for as long as necessary, after which data is deleted or anonymised within the applicable legal period;
  • payment and invoice data: in accordance with tax retention obligations;
  • basic administrative data: in principle 7 years;
  • emails and correspondence: for as long as necessary for handling, administration, evidence or legal obligations;
  • contact form messages: for as long as necessary for handling, administration, evidence or legal obligations;
  • incident reports: for as long as necessary for safety, evidence, insurance, legal handling or legal obligations;
  • newsletter data: until you unsubscribe or until the newsletter service is terminated;
  • photos made available online to customers: maximum 6 months;
  • CCTV footage: maximum 14 days, unless longer retention is necessary due to an incident, complaint, damage, theft, insurance matter, legal proceedings or request from the police or judicial authorities;
  • Airsoft 18+ related registrations: for as long as necessary for legal obligations, checks, administration and evidence.

When data is no longer needed, it will be deleted or anonymised.

12. Security

Unit 13 takes appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, alteration or disclosure.

Examples include restricted access to systems, internal authorisations, secure accounts, access management, hosting through professional parties and internal agreements on the use of data.

13. Your privacy rights

Under privacy law, you have several rights. You may ask Unit 13 for:

  • access to your personal data;
  • correction of incorrect data;
  • deletion of data;
  • restriction of processing;
  • data portability;
  • objection to processing;
  • withdrawal of previously given consent.

You can submit a request via events@unit13.eu.

We may ask you for additional information to verify your identity. We do this to prevent data from being provided to the wrong person.

Unit 13 will respond as soon as possible and within the statutory period.

14. Filing a complaint

If you believe that Unit 13 does not handle your personal data carefully, you can contact us by mail form.

You also have the right to file a complaint with the Dutch Data Protection Authority.

15. Changes

Unit 13 may amend this privacy statement when our services, systems, legislation or business operations change. The most recent version is always available on our website.

Unit 13 uses a cookie banner to inform visitors and request consent for cookies that require consent.

Strictly necessary cookies remain active because they are required for the operation and security of the website.
